Junior player data in ClubHub

Version 2026-10-03 ยท Last updated: 3 October 2026

Community cricket includes children and young people, so ClubHub can hold information about junior players. This page explains, in plain terms, what that means. The Privacy Policy is the authoritative document.

What ClubHub holds about a junior player

Only what cricket administration and team selection need, such as:

  • name and team or grade
  • date-range and match-specific availability
  • registration or transfer information
  • date of birth or age, where it is needed for age-based eligibility checks
  • selection, participation and match-role history where cricket administration needs it
  • supported cricket performance figures and match-planning information.

Why date of birth is sometimes needed

Many junior competitions have age rules, for example, qualifying for an Under 13 grade. ClubHub uses date of birth to help a club check those rules for the right player, in the right competition, at the right point in the season. Full date of birth is restricted to authorised Admin workflows where it is needed. Selectors receive the resulting age or eligibility information, not the player's full date of birth.

What should never go into ClubHub

  • working-with-children check numbers, copies or other screening details
  • medical, health or disability information that selection does not need
  • family circumstances, schooling or other private matters
  • anything sensitive typed into a notes field "just in case".

ClubHub does not ask clubs to record screening or vetting details, and those belong in the club's own child-safety processes, not in a selection tool.

A between-days change reason such as injury or illness can reveal health information. Record only the minimum reason category or explanation needed, with any required authority or consent. Do not add a diagnosis, treatment details or medical documents.

Who can see it

An Admin can use the restricted player-register workflow where the full date is genuinely needed. Selectors see only the derived age or eligibility result required for selection. Private junior-player records are restricted to authorised access and are not shared with other Clubs just because those Clubs use ClubHub. Authorised ClubHub personnel and supporting providers may access relevant information to operate, support or secure the service, as explained in the Privacy Policy.

Finalisation does not automatically publish a junior's team or Game Day Plan. A copied team list, printed plan or browser-saved PDF should be shared only with an appropriate audience. The optional public Club listing does not include junior-player records or selected teams.

The ClubHub Player & Family Portal is the participant-facing part of ClubHub. When a Club Admin enables it, approved players, parents, guardians and family members can manage availability, record playing preferences and view team or match information the Club deliberately releases.

The club's responsibilities

Clubs remain responsible for their child-safety, safeguarding and privacy obligations, and for deciding what is appropriate to share outside ClubHub. If you are unsure whether something belongs in ClubHub, ask your Club Admin first, and see Using ClubHub responsibly.

If selection doesn't need to know it, don't put it in ClubHub.

Checks help. People decide.
