ClubHub Team Selection - User Agreement

Version 2026-10-06.1 ยท Last updated: 6 October 2026

The important bits

  • ClubHub helps your club organise team selection. Checks help. People decide. Your club, selectors and association always make the final calls.
  • A ClubHub check is not an official eligibility ruling. When something needs review or an outside approval, we say so.
  • Your club's information stays your club's. We host and process it only to run the service, including relevant support, billing and service planning.
  • Be careful with junior players' information: record only what cricket needs, and follow your child-safety obligations.
  • Use your own account, respect your club's access levels, and don't use ClubHub to misuse anyone's personal information.
  • Player & Family Access is controlled by the Club. Families can update availability and preferences and see only information the Club deliberately releases; they do not become selectors or Club Admins.
  • A Foundation Club's price, satisfaction period and commercial terms are governed by the accepted Foundation Season Offer.
  • Your Australian Consumer Law rights are never excluded by anything in this agreement.

This summary is here to help you read the agreement. If it differs from the full agreement below, the full agreement applies.

1. About this agreement

This User Agreement applies when you access or use ClubHub Team Selection.

ClubHub Team Selection provides tools to help community sporting organisations manage player information, availability, match details and fixtures, team selection, supported checks, Finalisation, match planning, Wrap Up and participation history. The current ClubHub product is designed for cricket.

In this agreement:

  • ClubHub, we, us and our mean Matthew Dodson trading as ClubHub Team Selection, ABN 32 905 980 660.
  • Club means a sporting club or organisation using ClubHub.
  • User means a person authorised to access ClubHub, including a Club Admin, Selector, player, parent, guardian or other approved family member.
  • Service means the ClubHub Team Selection website, application and related services.

By creating an account, accepting an invitation or using ClubHub, you agree to this User Agreement.

If you use ClubHub on behalf of a Club, you confirm that you are authorised to do so.

2. ClubHub is a selection-support tool

ClubHub is designed to make team selection easier and more organised.

It can help Clubs:

  • manage date-range and match-specific player availability
  • organise Cascade, Independent and Shared Pool selection structures
  • view a Week of Cricket
  • create match context from a linked fixture or authorised manual match details
  • build and review selections
  • identify possible conflicts or issues
  • apply supported eligibility, Association-rule and team-points checks
  • Finalise team selections and preserve versions
  • prepare Match Planning and Game Day Plans
  • record Wrap Up and participation history
  • support one-day and two-day match workflows
  • prepare team information for sharing
  • optionally provide Player & Family Access so approved players and families can manage availability, record advisory playing preferences and view Club-released team information.

ClubHub assists people making selection decisions. It does not make those decisions for the Club.

3. Association rules and player eligibility

ClubHub may provide checks based on competition rules, player information and other information available to the Service.

These checks are decision-support tools only. In short: checks help, people decide.

The relevant cricket Association or governing body remains the authoritative source for its competition rules and for any official eligibility ruling.

ClubHub does not make official Association eligibility determinations and does not replace:

  • Club judgement
  • Association approval
  • registration or transfer approval
  • permits or clearances
  • independent qualification checks
  • any other requirement imposed by a competition or governing body.

Rule coverage may differ between Associations, competitions and seasons.

A rule may be shown as ambiguous, requiring human review or needing external evidence rather than being automatically enforced. Automated processing does not turn a matter requiring human judgement into an official Association decision.

Where ClubHub permits an authorised Admin to acknowledge or override a warning, including a case where no governing rule can be found, the decision and reason may be recorded in the Club's history. That record is a Club decision, not an Association approval or ruling.

A result shown by ClubHub reflects the information and rule coverage available to ClubHub at that time.

If ClubHub shows that something is unknown, unsupported, needs review, requires further evidence or needs external approval, the Club remains responsible for completing that check before relying on the result.

A ClubHub check should not be interpreted as a guarantee that a player is eligible to participate.

4. Club authority and administration

A person who creates or administers a Club workspace confirms that they have appropriate authority to act for that Club.

The Club is responsible for deciding:

  • who its Club Admins are
  • who its Selectors are
  • which teams or Competition Groups a Selector can access
  • when access should be changed or removed
  • what information is entered or imported
  • whether Player & Family Access is enabled for the Club
  • when a team is ready to be Finalised
  • what team information is released to Player & Family Access or shared outside ClubHub.

ClubHub may rely on instructions provided by an authorised Club Admin.

The Club is also responsible for ensuring its use of ClubHub is consistent with the laws, regulations, governing-body requirements, privacy obligations and safeguarding requirements applying to the Club where it operates.

5. Accounts and security

Each User must use their own account.

Users must:

  • provide accurate account information
  • keep login credentials secure
  • not share passwords or authentication links
  • not allow another person to use their account
  • promptly tell the Club or ClubHub if they believe their account has been compromised
  • only access information they are authorised to use.

ClubHub may require a User to reset credentials or take other security steps where reasonably necessary.

6. Player and Club information

Clubs may enter or import information needed for cricket administration and team selection.

The Club is responsible for ensuring that it has appropriate authority to collect, use and provide that information.

The Club is also responsible for taking reasonable steps to ensure information it provides is accurate and current.

Users must not knowingly enter information that is:

  • false or misleading
  • unlawful
  • defamatory
  • threatening or abusive
  • unrelated to legitimate cricket administration
  • unnecessarily sensitive
  • otherwise inappropriate for the Service.

In particular, free-text notes should not be used to store unnecessary medical, family, financial or other sensitive personal information. Selection and other notes entered in ClubHub may be visible to authorised Users within the Club according to their access, so notes should stay factual, relevant to cricket and suitable for that audience.

Where information a Club supplies turns out to be incomplete, out of date or incorrect, including information imported from reports or external competition sources, selection checks and results based on that information may be affected. The Club remains responsible for the decisions it makes using the Service.

7. Children, young people and safeguarding

ClubHub may be used by Clubs whose players include children and young people.

A Club is responsible for understanding and complying with the child-safety and safeguarding requirements that apply to it in the jurisdiction in which it operates.

Depending on the jurisdiction and the Club's activities, these may include requirements relating to:

  • child-safe or safeguarding policies and standards
  • working-with-children checks, worker screening or vetting
  • suitability of staff and volunteers
  • mandatory reporting and responding to child-safety concerns
  • appropriate communication with children and young people
  • parental or guardian involvement and consent
  • online safety
  • photography, publication and disclosure of children's information.

Users must not use ClubHub in a way that undermines or circumvents their Club's child-safety or safeguarding policies.

ClubHub does not perform or replace working-with-children checks, background checks, safeguarding assessments or regulatory approvals unless a specific ClubHub feature expressly states otherwise.

Clubs should only enter information about junior players that is reasonably necessary for legitimate cricket administration, selection or supported rule checking.

The ClubHub Player & Family Portal provides approved players, parents, guardians and other authorised family members with limited participant access. Player & Family access is separate from Club staff membership and does not grant selector or Club Admin permissions.

The Player & Family Portal is a Club-controlled module. A Club Admin may turn it on or off. Turning it off pauses participant sign-in, self-service availability and preferences, access requests and team releases. It does not by itself delete existing access links, availability, preferences or release history, and those records may become available again if the Club turns the module back on.

A person requesting Player & Family access must give accurate information about their identity, email address and relationship to the player. They must not request, use or share access to a player they are not authorised to manage. A Club may approve, reject or revoke participant access where reasonably required for the player's privacy, Club administration or security.

Player name and date of birth may be used to locate a record but do not, by themselves, establish authority to access it. ClubHub may require a Club-issued access card, Club approval and passwordless email verification. Players aged 16 or older may be approved for their own player access.

8. Availability and selection information

Availability information assists Clubs with team selection but remains dependent on the information supplied to ClubHub. ClubHub may use both date-range availability and a match-specific availability setting, with the match-specific setting taking precedence for that match.

Playing preferences are advisory selection context. They do not make a player unavailable or ineligible, do not create an eligibility exception and do not prevent selection or Finalisation. The Club remains responsible for its selection decisions.

Users should exercise reasonable judgement when relying on availability, player information, previous selections and other selection context.

Where a Club enters match details manually, it is responsible for keeping the competition, date, format, phase and other relevant context accurate enough for the checks it relies on.

Draft selections are working Club information.

Finalisation indicates that the Club has decided that a particular selection is its authoritative team selection within ClubHub at that time. ClubHub may preserve Finalised versions and the match context used for the checks so later changes do not silently rewrite the historical basis of the selection.

If material linked-fixture information changes after Finalisation, ClubHub may require the Club to review, confirm or reopen the selection instead of silently changing the Finalised record.

For a two-day match, Day 1 participation and audited changes between days may also be preserved as part of the match history. Once Day 1 has been recorded as played, changes to the continuing XI are made through the recorded between-days workflow rather than ordinary reselection.

A between-days reason such as injury or illness should record only the minimum information needed. Do not add diagnoses, treatment records or medical documents. The Club is responsible for any authority or consent required for that information.

Supported performance figures and comparisons depend on source coverage and correct player identity. They do not establish official participation, selection entitlement or eligibility on their own. Missing figures must not be assumed to mean zero performance.

ClubHub does not independently approve a Club's selection.

9. Sharing team information

The Club decides whether and how Finalised team information is shared outside ClubHub.

ClubHub may provide tools that allow Users to copy a team summary or prepare and print a Game Day Plan, including saving a PDF through the browser, for use in the Club's communication channels. Finalising a selection does not automatically release it to players or the public.

Where Player & Family Access is enabled, authorised selectors may separately release selected fields such as match details, the team list, batting order or bowling plan to approved players and families. A later selection change is not silently substituted into a previously released snapshot; the Club can choose when to release an updated version or hide the release.

The Club remains responsible for:

  • deciding what information is appropriate to share
  • deciding who receives it
  • ensuring the method of communication is appropriate
  • complying with any Association, privacy, child-safety or safeguarding requirements that apply to the Club.

Internal ClubHub information should not be shared externally unless there is a legitimate Club reason to do so.

Optional match planning does not itself approve or change a Finalised selection. Before distributing a plan, check the players, match dates, day-specific information and notes. Copies shared outside ClubHub are not automatically updated or recalled when the selection or plan changes.

A Club Admin may choose to list the Club on the public Clubs using ClubHub page and may remove that listing through the Club launch checklist. The listing publishes only the Club's name, location, Association, website link and listing date. Opting in does not authorise publication of player records, internal notes or team selections, and is not a condition of the Foundation Offer or its satisfaction-period protection.

Optional launch messages are drafts for a User to send through their own email application. ClubHub does not send those drafts automatically or save addresses entered solely for them. The shared checklist records the Admin's actions, not proof that a recipient received an email.

10. Acceptable use

You must not use ClubHub to:

  • access another Club's information without authority
  • attempt to bypass roles, permissions or security controls
  • interfere with the operation of the Service
  • introduce malicious software or code
  • probe, test or attack ClubHub systems without permission
  • scrape or systematically extract information without approval
  • impersonate another person
  • use another person's account
  • use ClubHub for an unlawful purpose
  • upload or distribute unlawful or malicious content
  • misuse personal information available through the Service
  • communicate with or about children in a way that breaches applicable child-safety, safeguarding or Club policies
  • store or distribute inappropriate or unnecessary information about a child or young person.

You must not attempt to obtain access beyond the permissions provided to your account.

11. Demo environments

ClubHub may provide demonstration environments containing fictional Clubs, players, fixtures and selections.

Demo information is provided for evaluation and training purposes.

Do not enter real player information or confidential credentials in a demonstration workspace. Demo records may be reset and should not be used as the Club's official records.

Users must not assume that fictional demo data represents real people, Clubs, competition requirements or current Association rules.

12. Fees and payment

Where a Club uses a paid ClubHub service, the fees, payment period and payment terms will be those agreed in the relevant:

  • quote
  • order
  • invoice
  • subscription arrangement
  • or other written agreement with ClubHub.

Unless otherwise agreed, fees are payable by the Club rather than individual Users.

ClubHub may change pricing for future subscription periods by providing reasonable notice.

Changes to future pricing do not retrospectively alter an existing agreed invoice or subscription period.

A Foundation Club's specific price, satisfaction period, cancellation arrangements and other commercial terms are governed by the accepted Foundation Season Offer. That offer does not create an automatic commitment to a future season.

13. Service availability

We aim to provide a reliable Service, but ClubHub may occasionally be unavailable because of:

  • maintenance
  • updates
  • technical failures
  • internet or telecommunications problems
  • third-party service outages
  • security incidents
  • circumstances outside our reasonable control.

We do not promise that the Service will always operate without interruption or error.

Where reasonably possible, we will seek to minimise disruption and restore affected services.

14. Product changes

ClubHub is an evolving service.

We may update, improve, replace or discontinue features where reasonably necessary to:

  • improve the Service
  • respond to User feedback
  • maintain security
  • reflect cricket competition requirements
  • address technical limitations
  • comply with legal obligations.

We will try to avoid changes that unnecessarily disrupt normal Club use.

For material changes affecting paid services, we will provide reasonable notice where practicable.

If a material change adversely affects an agreed paid service, contact ClubHub to discuss its effect and any appropriate remedy. Nothing in this section authorises a change that would be unlawful or limits a right to cancellation, refund or another remedy under applicable law. A feature labelled Coming soon is not a promise of a launch date or a current inclusion unless separately agreed in writing.

15. Information from external sources

ClubHub may use information from:

  • Clubs
  • cricket Associations
  • public competition sources
  • reports supplied by Clubs
  • other legitimate cricket administration sources.

A PlayHQ Public API connection is optional; a Club can use authorised reports or manual entry without an API key. The public connection can supply competition, fixture and result information. Where a documented public match-summary endpoint supplies it and the credential's scope and terms permit it, ClubHub can also record publicly visible player names, source identifiers, participation indicators and performance figures. Coverage depends on PlayHQ's visibility settings and available response. Private registration profiles, dates of birth, contact and payment details are not supplied by this connection; Clubs provide player and registration information separately through authorised reports or manual entry.

The Club must have authority to provide integration credentials and use the information retrieved. Credentials must be supplied only through the authorised connection workflow, not notes or shared documents. ClubHub uses documented public endpoints within the authorised scope; it does not gain access to a PlayHQ administration account or restricted Private API. An Admin can disconnect the connection. Disconnection stops that connection but does not automatically erase previously imported records.

External information may change, be incomplete or contain errors.

ClubHub does not control external websites, governing bodies or source systems and cannot guarantee that external information is complete or current.

Where source coverage matters to a selection check, ClubHub aims to make that limitation reasonably clear.

16. Intellectual property

ClubHub owns or licenses the intellectual property associated with the Service, including its:

  • software
  • interface
  • design
  • ClubHub branding
  • documentation
  • underlying systems.

Using ClubHub does not transfer ownership of those rights to a Club or User.

Clubs retain their rights in information they provide to ClubHub.

The Club gives ClubHub the limited permission necessary to host, process, reproduce and use that information for the purpose of providing, securing, supporting and maintaining the Service.

ClubHub does not acquire ownership of a Club's player or selection information simply because it is stored in the Service.

17. Privacy and local data-protection obligations

Personal information is handled in accordance with the ClubHub Team Selection Privacy Policy.

The Privacy Policy explains:

  • the types of information ClubHub may hold
  • why information is used
  • how access is controlled
  • service providers and overseas processing
  • access and correction
  • privacy enquiries and complaints.

ClubHub may use relevant Club contacts, subscription and billing records, service notifications and derived Club-size and usage measures to administer, support and plan the service. These measures do not automatically change an agreed Foundation Season price. Authorised ClubHub personnel and supporting providers may access information as reasonably necessary for those purposes, as described in the Privacy Policy.

Privacy enquiries may be sent to:

privacy@clubhubselect.com.au

Clubs and Users located outside Australia may also be subject to privacy or data-protection obligations in their own jurisdiction. The Club remains responsible for determining the requirements that apply to information it collects and provides to ClubHub.

18. Support

Questions about using ClubHub or problems with the Service can be sent to:

support@clubhubselect.com.au

ClubHub may also provide guidance, onboarding materials or other support resources.

19. Suspension of access

ClubHub may suspend or restrict access where reasonably necessary because of:

  • a security risk
  • suspected unauthorised access
  • serious misuse of the Service
  • unlawful activity
  • material breach of this agreement
  • non-payment of agreed fees
  • a request from an authorised Club representative
  • a legal or regulatory requirement.

Where appropriate, we will try to contact the affected Club before or promptly after taking action.

20. Ending use of ClubHub

A Club may choose to stop using ClubHub in accordance with its agreed subscription or service arrangement.

Individual Users may have their access removed by an authorised Club Admin.

After a Club stops using ClubHub, information may be retained for a reasonable period where necessary for:

  • account closure
  • legitimate Club records
  • security or audit purposes
  • dispute resolution
  • legal obligations.

Subscription cancellation, removal of a User's access, workspace closure and data deletion are different actions. Contact ClubHub to arrange closure, an appropriate export or a deletion request. Copies already printed, saved or sent through the Club's own channels remain the Club's responsibility. Data handling following closure is also subject to the ClubHub Privacy Policy.

21. Mandatory consumer and statutory rights

Nothing in this agreement excludes, restricts or modifies any right, remedy, guarantee or protection that cannot lawfully be excluded, restricted or modified.

This includes rights that may apply under the Australian Consumer Law and any equivalent mandatory consumer-protection laws that apply in another jurisdiction.

Where a statutory guarantee or other mandatory legal right applies, this agreement operates subject to that right.

22. Warranties and responsibility

We will use reasonable care in providing ClubHub.

However, because ClubHub depends on information provided by Clubs, Users and external sources, we cannot guarantee:

  • that all information entered into ClubHub is correct
  • that all Association rules can be automatically checked
  • that every eligibility issue will be identified
  • that external source information is complete or current
  • uninterrupted availability of the Service.

Clubs and Users remain responsible for their cricket administration and selection decisions.

23. Liability

To the extent permitted by law, ClubHub is not responsible for loss that results from:

  • incorrect information supplied by a Club or User
  • a Club relying on a check where ClubHub clearly identified that further review or external approval was required
  • decisions made independently by a Club, Selector, Association or governing body
  • unauthorised use caused by a User failing to protect their credentials
  • external systems or services outside ClubHub's reasonable control.

Nothing in this section limits liability where it would be unlawful to do so.

Where applicable law permits liability for a failure to comply with a statutory guarantee to be limited, ClubHub may limit its liability to the remedies permitted by that law.

24. Responsibility for misuse

A Club or User may be responsible for loss reasonably caused by their deliberate unlawful use, unauthorised access, malicious activity or serious breach of this agreement.

This does not make a User responsible for failures caused by ClubHub or matters outside the User's reasonable control.

25. Links and third-party services

ClubHub may contain links to or interact with third-party services.

Those services are operated independently and may have their own terms and privacy practices.

ClubHub is not responsible for the operation or content of third-party services outside our control.

26. Changes to this agreement

We may update this User Agreement as ClubHub develops or legal requirements change.

For minor changes, the updated agreement may be published on the ClubHub website.

Where a change materially affects Users' rights or the operation of a paid service, we will take reasonable steps to provide notice.

The date at the top of this agreement shows when it was last updated.

27. Governing law and local rights

This agreement is governed by the laws of Victoria, Australia, unless ClubHub and a Club agree otherwise in writing.

The parties submit to the courts and tribunals having jurisdiction in Victoria.

However, nothing in this agreement is intended to exclude or restrict a mandatory right, consumer protection, privacy obligation, child-safety requirement or other legal protection that applies and cannot lawfully be excluded because a Club or User is located in another Australian State or Territory or another country.
